Walk into a large conference hall or auditorium today and you will often see a screen at the front of the room carrying more than slides. Underneath the speaker's name, or along the bottom third of the display, a live transcript of what is being said scrolls in real time. This is on-screen captioning, and it has moved from a niche accessibility feature to a standard expectation at well-run onsite events.

For event organisers, the appeal is straightforward. A screen at the front of the room reaches everyone at once: attendees who are hard of hearing, those working in a second language, people seated far from the stage, and anyone who simply prefers to read along. No app download, no login, no personal device required.

This post looks at how on-screen captioning actually works at in-person events, where it delivers the most value, and how it compares with the personal-device alternative when you are deciding what to build into your next event.

## What On-Screen Captions Actually Are

On-screen captions are a live, scrolling text display of spoken content, shown on a shared screen rather than on an individual's phone or tablet. They are typically rendered as a lower-third overlay on the main venue screen, alongside slides, or on a dedicated caption monitor positioned near the stage.

The distinction matters because it changes who the captions serve and how they are consumed. A personal-device caption feed is private and adjustable. It follows one attendee's preferences: their language, their font size, their seat. An on-screen caption feed is shared and fixed. Everyone in the room sees the same text, in the same place, at the same time.

Neither approach is inherently better. They solve different problems, and many well-planned events use both.

## How On-Screen Captioning Works at a Live Event

#### From Speech to Screen in Real Time

The mechanics are the same whether captions appear on a phone or a projector: a speaker's words are captured by microphone, processed through automatic speech recognition, and rendered as text within a second or two of being spoken. Where AI-powered systems differ is in how well they keep pace with fast, overlapping, or accented speech, and how cleanly they handle names, acronyms and technical terms that a generic transcription engine tends to mangle.

For onsite events, that text then needs to reach a physical display rather than a browser tab. This usually means integrating the caption feed with the venue's existing AV setup: feeding it into the same system driving the main screens, or routing it to a separate caption monitor if the room design calls for one. Getting this integration right, well before doors open, is what separates captions that feel native to the event from captions bolted on as an afterthought.

Multilingual events add a further layer. Rather than showing the speaker's own words back to the room, the system can display a translated caption feed, so a screen at the front of the room carries the talk in the language most of the audience actually reads.

### Where On-Screen Captions Make the Biggest Difference

On-screen captioning tends to earn its place most clearly in a few recurring situations. Large auditoriums and keynote stages benefit because a shared screen scales to a room of any size without asking attendees to manage a personal device. Panel discussions and fast-moving Q&A sessions benefit because captions help audiences follow overlapping voices without needing to switch devices between speakers. Events with a significant non-native-language audience benefit because a shared, correctly-languaged caption feed removes a barrier without singling anyone out or requiring them to seek out a workaround.

There is also a simple practical case: not every attendee has a smartphone charged, connected to venue Wi-Fi, and ready to run a captioning app. A screen at the front of the room asks nothing of the attendee at all.

### On-Screen Captions Compared with Personal Devices

The two delivery methods are complementary rather than competing. On-screen captioning suits a shared, single-language or single-translation feed that the whole room can use passively. It is well suited to keynotes, plenaries, and any session where most of the audience wants the same experience.

Personal-device captioning, by contrast, suits audiences with mixed language needs, since each attendee can select their own caption language on their own screen. It also suits attendees who want to adjust text size or reposition captions to their liking, something a shared venue screen cannot offer per person.

Many organisers use on-screen captions in the main hall and offer personal-device captioning as an option for breakout sessions or attendees who need a language not represented on the main screen. Considering both from the outset, rather than treating one as a fallback for the other, tends to produce a more accessible event overall.

## What to Look For When Adding On-Screen Captions

Three things are worth confirming before an event, since they determine whether captions feel seamless or become a visible distraction on the day. First, check that the captioning provider can integrate directly with your venue's AV and screen setup, rather than requiring a separate standalone display. Second, ask how the system handles industry-specific terminology, since a caption feed full of misheard names or jargon undermines confidence in the whole system. Third, confirm turnaround on translated captions if the event is multilingual, since a delay of several seconds becomes noticeable and distracting on a large shared screen.

Getting these details right during planning, rather than testing them for the first time on the day, is what makes on-screen captioning read as a natural part of the event rather than an add-on.
