Interprefy Agent for Microsoft Teams: How It Works and Why It Helps13:18

Microsoft has spent 2026 adding real interpretation muscle to Teams: [automatic language detection](https://m365admin.handsontek.net/microsoft-teams-auto-detect-spoken-language-multilingual-meetings/), a [consecutive mode](https://techcommunity.microsoft.com/blog/microsoft365insiderblog/converse-naturally-across-languages-with-consecutive-interpretation/4514327) for negotiations, support for [dedicated room hardware](https://mc.merill.net/message/MC1446807). For an organisation working mainly in English and Spanish on a Copilot licence, that might cover most meetings on its own. For most global organisations it does not, and the gap between what Teams now offers natively and what a multilingual workforce actually needs is exactly where an interpretation platform earns its place.

[Interprefy Agent](https://www.interprefy.com/interprefy-agent) sits in that gap. It joins a Microsoft Teams meeting as an automated participant and adds [AI speech translation](https://www.interprefy.com/solutions/ai-translation), [captions and subtitles](https://www.interprefy.com/solutions/multilingual-live-captions-and-subtitles) without asking the host to install anything or attendees to leave the call they are already on. What follows is how the Agent behaves inside a live meeting, and where it goes further than what Teams now builds in natively.

---

## What Is Interprefy Agent?

Interprefy Agent is an automated participant that joins a Teams meeting the same way a colleague would: through a calendar invite. Once the meeting starts, it captures the floor audio and streams it securely to the Interprefy platform, where [AI speech translation turns it into live translated audio, captions and subtitles](https://knowledge.interprefy.com/migration/interprefy-agent-for-microsoft-teams), covering [80+ languages and 6,000+ language combinations](https://www.interprefy.com/ai-speech-translation-interprefy).

Because the Agent behaves like any other attendee, there is nothing for the host to configure and nothing about the meeting setup that changes. You add its dedicated email address to the invite, and the translation layer runs alongside the meeting rather than inside it, which keeps it out of the way of whatever IT policies already govern how Teams is used.

The same Agent configuration also works beyond Teams. [It is allocated at the event level with no stated expiry, and can be reused across Microsoft Teams, Zoom, Webex and Google Meet as often as needed, as long as meetings do not overlap](https://knowledge.interprefy.com/interprefy-agent-qa), so an organisation running a mix of platforms is not setting up a separate tool for each one. Usage is drawn from the hours in the organisation's Interprefy plan, [which runs on a 12-month term](https://www.interprefy.com/pricing).

## How Interprefy Agent Works in a Microsoft Teams Meeting

### From invite to live translation

It starts before the meeting, when the host requests a dedicated Agent email address from their Interprefy project manager and adds it to the Teams invite alongside everyone else, [scheduling with at least ten minutes' notice so the Agent has time to connect. It joins automatically around a minute before the meeting's start time, switches on captions, and drops a chat message with a QR code and a link](https://knowledge.interprefy.com/interprefy-agent-qa) that take attendees straight to their live translation options.

Nobody needs to remember a manual step once the call is under way, and the Agent leaves automatically once every participant does, which keeps things tidy for recurring or back-to-back meetings.

### What participants see and do

Anyone who needs translation scans the QR code or taps the chat link, then picks their language through the Interprefy web app or mobile app. From there they can listen to AI speech translation, read AI-generated captions or subtitles, or both, without ever switching away from the Teams window in front of them. That low-friction access matters just as much as translation quality, because a feature nobody figures out how to use in the first ninety seconds of a meeting is a feature that quietly goes unused.

Speakers, meanwhile, notice almost nothing different. The AI engine works from the audio the Agent is already streaming, so there is no special microphone, no pause built into the rhythm of speaking, no need to remember that part of the room is listening in another language entirely.

### Where Interprefy Agent Fits Best

The Agent suits meetings that happen often enough that a heavyweight setup would not be worth repeating each time: a monthly global town hall, a weekly leadership sync, recurring training for new hires in multiple markets, or a client-facing quarterly review. The same invite carries the Agent every time, with nothing to reconfigure. It also works for a meeting that only turns out to need translation after it has already been scheduled, since adding its email address takes minutes rather than a change of platform.

## Interprefy Agent vs Other Ways to Add Interpretation to Teams

Interprefy connects to Microsoft Teams in more than one way, and which one fits depends on the meeting format and the technical setup already in place.

The [Inject method](https://knowledge.interprefy.com/how-does-interprefy-work-with-microsoft-teams) streams interpreted audio directly into Teams' built-in language interpretation feature, so attendees pick their language from the same menu they would use for any native Teams function. It sits tightly inside the platform, but needs a supported Microsoft 365 licence such as E3 or E5, access to the Teams desktop app, and it does not currently support live closed captions.

[Interprefy Agent](https://www.interprefy.com/interprefy-agent) works through the mobile and web app instead, which is why it can also deliver closed captions and subtitles alongside AI speech translation. It asks less of a participant's Teams licence and device setup, making it the more forgiving default when an audience is not all on the same technical footing. It is worth noting that Inject is the route to a certified human interpreter on Teams, since the Agent itself is AI speech translation, captions and subtitles only.

### Interprefy Agent vs Microsoft's Native Interpretation Options

Microsoft actually gives organisations two native routes to interpretation, and it is worth being clear about both before treating either as a substitute for a dedicated interpretation platform.

The first is [Teams' built-in Language Interpretation feature](https://support.microsoft.com/en-us/teams/meetings/use-language-interpretation-in-microsoft-teams-meetings). An organiser assigns a human interpreter to a language pair, either when scheduling the meeting or live during it, and a single meeting can carry up to 16 language pairs this way. Microsoft does not supply the interpreter: the organisation has to find, vet and schedule that person itself. Once assigned, the interpreter works from the standard Teams meeting window rather than a dedicated interpreting console, switching translation direction from the same controls any participant has. [Listeners pick their language channel manually, and there is no automatic switching if the spoken language changes mid-meeting](https://learn.microsoft.com/en-us/answers/questions/5733195/human-language-interpretation-in-teams), so participants need a clear briefing beforehand on how and when to switch. The feature is desktop-only, is not available in end-to-end encrypted meetings or breakout rooms, and interpreter audio is not captured in meeting recordings.

The second route is the [AI-powered Interpreter agent](https://support.microsoft.com/en-us/teams/copilot/interpreter-in-microsoft-teams-meetings-and-calls), available with a Microsoft 365 Copilot or Teams Premium licence. It automates the listener side of the equation but narrows the language set considerably to ten, with up to 20 hours of interpretation included per person per month before capacity limits apply. It covers scheduled and channel meetings, one-to-one and group calls with up to 1,000 participants, and [Teams Rooms hardware running Android is gaining support from late August 2026](https://mc.merill.net/message/MC1446807), but it is still not available for ad hoc meetings, personal-device Teams Rooms, town halls, webinars or Teams Free meetings. Microsoft has moved quickly on it through 2026: [automatic language detection, added in April, now updates each speaker's language in real time rather than requiring manual selection](https://m365admin.handsontek.net/microsoft-teams-auto-detect-spoken-language-multilingual-meetings/), and a new [consecutive mode](https://techcommunity.microsoft.com/blog/microsoft365insiderblog/converse-naturally-across-languages-with-consecutive-interpretation/4514327) gives structured discussions such as negotiations a turn-by-turn option, where each speaker pauses while their words are interpreted before the next begins. Recordings still capture only the original audio, and the live transcript reverts to the source language once the meeting ends, though [meeting recaps can now be generated and re-translated in each participant's own language, rolling out worldwide by late August 2026](https://m365admin.handsontek.net/microsoft-teams-multilingual-meeting-recaps-support-personalized-recap-translation/). Organisations using Sign Language Mode get a smaller but relevant improvement too, from March 2026: [transcripts now credit the signing participant directly rather than the interpreter voicing for them](https://support.microsoft.com/en-us/teams/platform/what-s-new-in-microsoft-teams).

Interprefy Agent itself is built to cover the AI half of that gap without Microsoft's constraints. It offers [80+ languages and 6,000+ combinations for AI speech translation](https://www.interprefy.com/ai-speech-translation-interprefy), with automatic language detection and captions and subtitles included as standard, rather than capped at ten languages. [The Agent link itself has no stated expiry and can be reused across any number of meetings, provided they do not overlap](https://knowledge.interprefy.com/interprefy-agent-qa), and because it is configured once at the event level, the same link also carries over to Zoom, Webex and Google Meet, not just Teams. What it draws on is [a pool of hours purchased on a 12-month plan](https://www.interprefy.com/en/pricing/interprefy-plans), rather than a flat per-user monthly allowance, so the practical limit is the plan an organisation buys, not a fixed cap like Microsoft's.

For the meetings where a certified human interpreter matters more than AI speed, Interprefy's Inject integration and its broader interpreting service cover that instead: [interpreters are sourced and vetted by Interprefy and given a dedicated console with relay interpretation, handover and team coordination tools](https://www.interprefy.com/solutions/integrations/microsoft-teams), well beyond the standard meeting window Teams' native interpreters work from, something neither of Microsoft's native options offers either.

The table below summarises the three options side by side; the detail behind each point is above.

| | Teams AI Interpreter agent | Interprefy Agent |
| --- | --- | --- |
| Languages | 10 languages | 80+ languages, 6,000+ combinations (AI) |
| Interpreters | AI only | AI only (human interpreters via Inject, not the Agent) |
| Captions & subtitles | Yes, automatic | Yes, automatic |
| Interpretation mode | Simultaneous, plus consecutive (2026) | Simultaneous; consecutive in development (2026) |
| Language handling | Auto-detect (10 languages) | Auto-detect; no language cap |
| Licence | Copilot or Teams Premium | Any Teams licence tier |
| Meeting types | Scheduled, calls, up to 1,000 participants; Rooms (Android) rolling out | Any Teams, Zoom, Google Meet or Webex meeting |
| Usage allowance | 20 hours/person/month | No hours cap |
| Recordings | Original audio only; recap translation added 2026 | Full multi-language audio, video, transcripts, and AI summaries |

Put side by side, the two AI tools solve the same problem differently. Microsoft's Interpreter agent automates the listener experience but caps out at ten languages and a monthly hour allowance. Interprefy Agent is built to clear that constraint: broader language coverage, automatic detection, and no monthly reset, for organisations that need Teams meetings to work in more languages than Microsoft's own AI tool currently covers.

## Why Multilingual Teams Meetings Need More Than Native Captions

It helps to look at what language gaps actually cost. [Language barriers are estimated to cost businesses $2.1 trillion a year in lost revenue worldwide](https://ainora.lt/blog/multilingual-business-communication-statistics-2026), and [one in five workers say they have felt judged for their accent at work, with communication-related anxiety costing top earners as much as $25,000 a year in lost productivity. Only 24% of workplaces offer any structured language support](https://learningnews.com/news/learning-news/2025/language-barriers-and-accent-anxiety-undermine-workplace-performance-study-finds), leaving most of that gap for people to manage on their own, often mid-meeting, with no time to catch up.

That gap is part of why multilingual AI is being adopted so quickly, with [61% of businesses planning to add multilingual AI capabilities within two years](https://ainora.lt/blog/multilingual-business-communication-statistics-2026). Basic captions help with comprehension, but they stop at the words on screen. Interprefy Agent is built for the everyday multilingual meeting: real-time AI speech translation, captions and subtitles across 80+ languages, without the ten-language ceiling or the monthly hour reset that comes with Microsoft's native AI tool.

## What to Look For When Adding AI Interpretation to Teams

Before adding any interpretation layer to your Teams meetings, it is worth checking a handful of practical points: whether the tool needs a specific Microsoft 365 licence tier, whether it supports live captions and subtitles as well as audio translation, how many languages it actually covers, and how attendees reach their chosen language without leaving the meeting. It is also worth asking whether interpreted audio and transcripts can be captured for recordings, so people who missed the live session can catch up afterwards.

Interprefy Agent is built around exactly those requirements: real-time AI speech translation, captions and subtitles across 80+ languages, with a setup that asks little of the host and works across web and mobile for attendees, scaling from a single recurring internal meeting to a large multilingual town hall.
